Loi (“we,” “our,” or “us”) provides a dedicated intake inbox that helps law firms capture, organise, and follow‑up with prospective clients. Protecting personal information is fundamental. This Privacy Policy explains what data we collect, how we use it, how we secure it, and the choices you have.

Using the Service signifies your consent to this Policy. If you do not agree, discontinue use.

1. Information We Collect

  • Client Intake Data – names, phone numbers, email addresses, message content, and notes submitted via forms, email (Gmail/Outlook), SMS/voice (Twilio), or imported from Clio.
  • User‑Account Data – staff names, business emails, roles, billing details, login timestamps, usage logs, support tickets.
  • Device & Analytics Data – IP address, browser type, cookies, and product‑analytics or marketing‑pixel events (Google, Meta, LinkedIn, HubSpot).

2. How We Use Personal Information

  1. Provide and maintain the Service (intake consolidation, notifications, integrations).
  2. Ensure security, prevent fraud, and troubleshoot.
  3. Analyse usage to improve features and user experience.
  4. Process payments and manage accounts.
  5. Send B2B marketing to law‑firm users (you may opt out).
  6. Comply with legal obligations and enforce our Terms.

Loi does not sell or “share” personal information for third‑party advertising (as defined by the CPRA).

3. When We Disclose Information

  • Service Providers (e.g., DigitalOcean, Twilio, HubSpot) under written agreements that limit use to our instructions and require confidentiality and security.
  • Integrations You Enable (e.g., Clio, Gmail, Outlook) solely as needed to provide the integration.
  • Legal or Safety Requirements to comply with court orders or to prevent harm.
  • Business Transfers if Loi merges, is acquired, or sells assets, provided the successor honours this Policy or notifies you of material changes.

4. Cookies & Tracking Technologies

We use (a) essential cookies for authentication, (b) analytics cookies for product insights, and (c) marketing pixels to measure ad performance. You can adjust browser settings or install the Google Analytics opt‑out add‑on.

5. Data Retention & Deletion

  • Client Intake Data retained until the firm deletes it or 7 years after account closure, whichever is sooner.
  • Account & Billing Data retained while the account is active plus 2 years for audit and tax purposes.
  • Encrypted Backups purged on a rolling 30‑day cycle.

Upon verified request we will delete or anonymise personal data unless retention is required by law or for legitimate security purposes.

6. Your Privacy Choices & Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or port personal data, opt out of marketing or the sale/sharing of data, withdraw consent, and lodge a complaint with a regulator.

How to exercise: email contact@loi.law with enough detail to verify your identity and specify your request; we will respond within 30 days unless local law requires sooner.

7. Security Measures

We implement industry‑standard safeguards, including TLS 1.2+ encryption in transit, AES‑256 encryption at rest, annual penetration tests, and continuous monitoring. We will notify affected users within 72 hours of confirming a data breach. No online service can guarantee absolute security, but we take commercially reasonable steps.

8. International Data Transfers

The Service is operated from Canada and the United States. By using Loi, you consent to data transfer and storage in these countries. Where required, we rely on Standard Contractual Clauses or equivalent safeguards.

9. Policy Changes

We may update this Policy periodically. Material changes will be announced by email or prominent in‑app notice at least 30 days before they take effect. Continued use after the effective date constitutes acceptance.
